Set up an asset type

Create a new asset type with its own fields, then record an asset of that type.

An asset type decides what extra details the register records for a kind of asset. When none of your types fits, create one: give it a name, add the fields it should record, then use it.

A type on its own captures nothing extra. Creating it gives you a name; the fields you add are what make it useful.

Two permissions, not one. Creating a type sits under asset management. Editing what it records happens on Page Templates, which has its own permission.

  1. Step 1

    Open the asset types

    In the side menu, click Assets, then click Manage types. The panel lists your organisation's asset types.

    Create the type

    Click New asset type, enter a name for the kind of asset it covers, then click Create.

    A type is only a name so far

    A new type records nothing extra until it has fields. Click Edit fields to add them. This opens the type on Page Templates.

    Add a field

    Page Templates opens the type in view mode, so click Edit first. A field lives inside a section, so add a section first if the type has none. Click Add Field, give the field a name, and set its Field Type. It has no default, and a field without one never appears.

    Save it

    Click Save Changes.

    Use the new type

    In Assets, click Add asset and choose your new type. Its field appears on the form.

    Check it saved

    Fill in the field, click Create asset, then open the asset to check the value was saved.

    Two screens, one job

    The types panel lists types, creates them and handles the whole-type actions. Page Templates is where a type's fields are edited. Edit fields links the two, so you don't need to know where Page Templates is.

    Types are organisation-wide

    A type you create is available to everyone adding assets, and every asset already on that type shows the fields you add.

  10. Step 10

    Retiring a type

    The types panel offers override, hide, revert, delete and show. Hiding a type stops it being chosen for new assets without touching the assets already recorded on it.
