Forms > Management opens on Form Templates: the blank forms available to you. They can be organised into folders, which is useful once there are a lot of them and a nuisance when you do not know which folder something is in.
Searching solves that. It matches part of a word against the template's name, its description, and the folder path it sits in — and while you are searching, the folders flatten out and every template that matches is listed together, wherever it lives. A few letters is usually enough.
Opening a template opens it ready to complete. Nothing is submitted by opening it, and nothing is recorded until you send it. Client, facility and user forms will ask who the form is about before they can be submitted. Completing and submitting one is its own walkthrough — see Fill in a form.
Step 1
Open Form Templates
Forms in the side menu opens Management on the Form Templates tab. The list holds the templates your permissions cover.
Step 2
Search for it
Type into Search all templates. It matches anywhere in a word, so a fragment works — "incid" finds "Incident Report".
Step 3
What the search covers
The name, the description, and the folder the template sits in. Searching for a folder name is a quick way to see everything kept in it.
Step 4
Folders flatten while you search
You do not have to be in the right folder — searching looks across all of them at once and lists the matches together.
Step 5
Check before you open
Read the name and the type on the row. Similar forms with similar names is the ordinary case, and the one you open is the one you will fill in.
Step 6
Open it
The template opens ready to complete. Nothing is submitted yet — and a client, facility or user form will ask who it is about before it can be sent.
Step 7
When a template does not come up
Try a shorter fragment first; the match is on substrings, not whole words. Then consider that the template may be archived — archived templates are behind their own toggle, not in the main list. Then check your access: a template you have not been given is not listed at all. A missing template is far more often one of these three than a deleted one.
Step 8
Opening is not filling in
Opening a template creates nothing. If you start answering and close the form, what you have typed may be kept as a draft — a draft is a real response with a status, not a scratch pad, and it stays visible to people who can read responses.
